InterBook

An appointment system specifically written for the needs of booking Support Workers
(Language Interpreters, Lip speakers, Notetakers, etc.)


Feature Overview:
  • Designed to be used while on the phone with intuitive point and click screens and a minimum of typing
  • Secure access into the system using either Windows authentication or specific User Name & password
  • Single or multi user system with each user configured to perform one or more roles
    (take bookings, process invoices, reporting or read only)
  • All dropdown lists easily configurable by an Administrator type user
  • Create and Print contracts for Customer and/or Support Worker(s) - configurable option
  • Create and Print Advice Letters to any address
  • Cancel an appointment and calculate charge depending on configurable rules
  • Create and Print an Invoice for a Casual customer
  • Log Support Worker Invoice details
  • Monthly Reporting
  • Search facility
  • A small fee to begin using InterBook, then a 'Pay As You Use' arrangement going forward, with all updates,  enhancements and future versions being free. Hence, the cost of using InterBook can be covered by a small increase in the administration charge you set for each appointment.

Capture Information such as:
 
  • Booking Date, Start Time (Finish Time is optional)
 
  • Customer (person or organisation paying)
 
  • Venue - address, map reference and contact names
 
  • Service(s) Required - configurable list which assists with support worker selection
 
  • Booking Description
 
  • Required specialism(s) - particular field of knowledge or experience that may assist with the appointment
 
  • Log any messages for the appointment received by Fax, Email, Minicom or Phone
 
  • Specific Reporting Information - Appointment created by Customer or Client, Staff Support appointment, Appointment Type (configurable list)

Customer Information:
 
  • Customer Name and Address
 
  • Customer Type - Contract (charged in hours), Casual (charged in money)
 
  • Multiple Department details (if required)
 
  • Contact Person details

Client Information:
 
  • Title, Forename, Surname, Address and Gender
 
  • Contact Details (phone numbers, email addresses)
 
  • Age Band, Disability Type, Ethnic Origin
 
  • Client can be flagged as a Casual Customer (allows a Client to book and pay for their own appointments without the need to re-enter their details as a Customer)

Venue Information:
 
  • Name and Address
 
  • Map Reference
 
  • Contact Person Details (phone numbers, email addresses)

Support Worker Information:
 
  • Title, Forename, Surname, Address and Gender
 
  • Support Worker Type:
    - Unit (employed by the Unit or Agency)
    - Freelance (paid on a per appointment basis)
    - Both (may by employed part-time by unit and be available for freelance appointments at other times)
 
  • Specialism(s) - particular field of knowledge or experience
 
  • Categories - List of qualifications held by Support Worker (used to match Support Worker to an appointment's Required Service)

Future Plans/Ideas:
  • Send SMS text messages when searching for support workers at short notice
  • Write an Invoice data export facility for use with accounting packages (PowerSolve, Sage, etc..)
  • Generate a 'mail merge' when checking for Support Worker's availability - create and send email, SMS text message, fax or printed letter - track replies received
  • Allow entry of Support Worker holiday dates
  • Enhance InterBook's reporting engine
  • Extend InterBook's web site to include
    - Frequently Asked Questions
    - Error Log, work arounds and resolution progress
    - create a Users Forum
  • Provide a DotNet platform option
  • Write a web page interface for selected Customers to create new appointments themselves

Currently being used or evaluated by:
  • Coventry and Warwickshire Sign Language Interpreting Unit
  • Luton Borough Council - Alba Neve Centre - Services for the Deaf
Costs:
  • Cost is split into two parts, a one off fee for initial installation, configuration and training and then a monthly fee depending on how much the system is used.

    Part 1 - One day's consultancy (depending on number of users):
    Option 1 - support your own IT department while they install the system. Then configure the system to suit your needs and train users
    Option 2 - do everything - install, configure and train users

    Part 2 - A monthly charge depending on how many Appointments and Invoices have been created during the month
    At the end of each month the system will need to be re-licensed for the next month. This will be achieved by connecting to a web service with the following information being downloaded:
    - a count of the number of Appointments taken and Invoices generated - used to create the charge for the month
    - InterBook's error log to allow for on-going monitoring
    - Any Feature Requests entered by the users

    On successful re-licensing an email will be sent to you as a confirmation and the data for that month, will be available in the reporting engine. At no time will any confidential Customer, Client or appointment details be downloaded.

    All updates, enhancements and future versions are free!

Availability:

  • InterBook will be available from August 2005. If you are currently working with a paper based system and would like an opportunity to evaluate InterBook for a month, please give details in your email message. An overview demonstration of the current system can be arranged.

System Requirements:

  • Costs assume that a modern PC (with a modem or internet connection) and printer will be available to run InterBook on. Supplying hardware creates complications regarding support and maintenance, and isn't normally undertaken.
  • InterBook is currently a Microsoft Access application, which can also be used with Access run-time, so no other software is required to be installed
